How to collect guest details without chasing everyone

A wedding guest list rarely stays as simple as a collection of names. One person is missing an email address, another still needs to confirm their plus-one, and someone else sends a correction in a message you have to remember later.

When those details live across chats, notes and spreadsheets, it becomes surprisingly difficult to know which version is current.

A simple collection process gives you one reliable guest list — without repeatedly chasing people for information.

WhoThe guest’s correct name.
ContactWhere their invitation should be sent.
Plus-oneWhether someone else is included and who they are.
StatusWhether their details are complete and the invitation has been sent.
AccessWhether they have joined the wedding space.

Decide what you need now — and what can wait

Start with the information you actually need to identify and contact each guest. For most weddings, that means their name, email address and a clear record of who is included in the invitation.

You may need more information later, but collecting everything at once can make a simple guest-list task feel much more complicated than it needs to be.

Ask for information when it becomes useful. Keeping the first request short makes it easier for guests to respond and easier for you to keep track of what is still missing.

Let guests fill in the gaps

You do not need to know every surname, email address or plus-one detail before you start building your guest list. When something is missing, let guests provide the information themselves.

A short guest-information form is often easier than chasing individual people through different chats. Keep the request simple and explain why you need the information.

We are preparing our wedding guest list and would love you to join us. Please complete this short form so we have the correct names and contact details before invitations are sent.

Review what comes back before treating it as final. People make spelling mistakes, use informal names or misunderstand which details are being requested.

Make room for plus-one details to change

A guest may know they are bringing someone before they know exactly who that person will be. Do not make them delay everything else just because one detail is still undecided.

Already included

Someone already included in the invitation by name.

Plus-one

Chosen later

An invited guest may choose who to bring.

Additional guest request

Not yet included

Someone the guest would like to bring but who has not been included in the invitation.

Set a deadline only when you genuinely need the final information, for example when confirming numbers with the venue or caterer.

You do not have to manage every correction yourself

Guest lists change. Someone updates an email address, another confirms their companion and a relative needs help completing their details.

Give one or two trusted people clear permission to help, especially if they already know part of the guest list well.

One current guest list

One guest list. One current version.

JoinOurDay lets you add guests yourself or collect their details through a Quick Invite link, review submissions before adding them to your guest list, manage plus-one details and invite guests when your wedding space is ready.

You can also give administrator access to someone you trust, so maintaining the guest list does not have to fall to one person.

Guest-list changes are inevitable. The goal is not to prevent every correction — it is to know where the current information lives.
